BetweenBreaks Pvt Ltd (“BetweenBreaks”, “we”, “us”, or “our”) operates an alumni engagement platform that helps educational institutions (each, an “Institution”) build and manage relationships with their alumni. We reach out to alumni on behalf of partner Institutions over email, WhatsApp, and LinkedIn, and we provide a mobile/web application (the “App”) through which alumni can stay connected.
This Privacy Policy explains how we collect, use, disclose, and protect personal data in connection with these activities (collectively, the “Services”). By engaging with our communications, using our website, or registering on the App, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services and you may opt out of communications as described in Section 5.
1 Who This Policy Applies To
- Alumni of partner Institutions whom we contact, or who register on the App.
- Authorised staff of partner Institutions who use our dashboard or admin tools.
- Visitors to our website.
2 Information We Collect

When an Institution partners with us, it may share alumni directory data such as name, batch or graduation year, course/branch, email address, phone number (including WhatsApp number), LinkedIn profile URL, current employer or designation, and other similar professional details, so that we can reach out on the Institution’s behalf.

When you register or respond: When you register on the BetweenBreaks App or respond to our outreach: name, contact details, work experience, areas of expertise, willingness to mentor, host, hire, or donate, RSVP details for events, and any other information you choose to share.
When you make a donation: If you choose to donate to an Institution through our platform: donation amount and related transaction details, processed via third-party payment gateways. We do not store your full card, UPI, or bank account details.

When you use our website or App, we may automatically collect device information, IP address, log data, app usage patterns, and similar data through cookies or comparable technologies.

When we contact you via LinkedIn or WhatsApp, we may receive limited profile or message-status information made available by those platforms, subject to their own privacy policies.
3 How We Use Your Information
We use the collected information for specific, lawful purposes in connection with alumni management and engagement:
- To reach out to alumni on behalf of partner Institutions for internships, jobs, mentorship sessions, guest lectures, alumni events, and donation drives.
- To create and manage your profile on the App.
- To match alumni with relevant opportunities — mentoring, hiring, speaking, or events.
- To process and acknowledge donations made to an Institution.
- To send service updates, event invites, and reminders over email, WhatsApp, and/or LinkedIn.
- To improve our Services and to prepare analytics and engagement reports for partner Institutions.
- To comply with legal obligations and to enforce our Terms and Conditions.
4 How We Share Information
We respect your privacy and only share information in the following structured scenarios:
- With the partner Institution: On whose behalf we are engaging you — for example, an Institution may see your response or engagement status.
- With trusted service providers: Partners who help us operate, such as email and WhatsApp Business API providers, cloud hosting providers, and payment gateways for donations — each bound by confidentiality and data-protection obligations.
- With other alumni: Only where you have explicitly opted in, such as mentorship directories or community networking features.
- For legal compliance: When required by law, regulation, legal process, or a valid governmental request.
- Business transfers: In connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
5 Communication Channels and Consent
We may contact you via email, WhatsApp, and LinkedIn on behalf of partner Institutions. By providing your contact details — directly or through your Institution — you consent to receiving such communications.

- Clicking “unsubscribe” in any of our emails;
- Replying “STOP” on WhatsApp messages;
- Writing directly to us at admin@betweenbreaks.in; or
- Updating your communication preferences within the App.
Note: Opting out of communications from BetweenBreaks does not affect your independent direct relationship with your Institution.
6 The BetweenBreaks App
Our App may request device permissions — such as contacts, notifications, or camera access for a profile photo — strictly to enable the relevant feature. We only request what is needed for that feature, and you can review or withdraw permissions at any time directly from your device settings.
7 Data Retention
We retain personal data for as long as necessary to provide the Services, maintain the alumni–Institution relationship, and comply with our legal obligations. Data is securely deleted or anonymised thereafter, or earlier if instructed by the partner Institution or requested by you, subject to any legal or contractual retention requirements.
8 Data Security
We implement reasonable technical and organisational measures — including encryption in transit, access controls, and restricted internal access — designed to protect personal data against unauthorised access, loss, or misuse. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on applicable law, including India's Digital Personal Data Protection Act, 2023 (DPDP Act), you may have the right to:

10 Children's Privacy
Our Services are intended for alumni who are adults. We do not knowingly collect personal data from individuals under 18 years of age. If you believe a minor has provided us data, please contact us so we can immediately remove it.

Some alumni may be located outside India. Where we process or transfer personal data outside India, we do so in accordance with applicable data protection laws.
